Sync Rules
Sync rules are what make SyncaMap automatic. Each rule describes which orders should become locations on your map. When a new order matches an enabled rule, SyncaMap extracts the shipping address and ordered products, geocodes the address, and creates a location with source Auto-sync — no manual data entry.
Configure them under Sync → Sync rules.
Set up Product Rules first. When a location is created from an order, SyncaMap resolves and stores its display products at that moment, using whatever product rules exist then. Having product rules in place before you turn on sync means every location is created showing the right names and links. If you add or change product rules later, use Re-resolve all on the Product Rules page to refresh existing locations.
How auto-sync works
- You create one or more sync rules that identify which orders should become locations.
- When a new order matches a rule, SyncaMap extracts the shipping address and ordered products, applies your product rules, geocodes the address, and creates a location.
- Duplicate addresses are detected and merged, so the same store never appears twice. When a repeat order matches an existing location, its last order date is updated.
Auto-sync has a global on/off switch on the Sync rules page, and each individual rule has its own enable/disable toggle.
Creating a sync rule
Go to Sync → Sync rules and add a rule. Choose a rule type and enter the value it should match. Available rule types depend on your plan:

The first three (Customer tag, Order tag, Sales channel) are the basic types available on every plan. The rest are advanced types that require Starter or above.

Backfilling historic orders
Backfill is available on the Starter plan and above.
To populate locations from orders placed before you set up a rule:
- Go to Sync → Sync rules.
- Click Run backfill and choose how far back to look (limited by your plan's backfill window).
- SyncaMap processes matching historic orders and creates locations. Check the Sync History tab for created and skipped results.
Customer confirmation emails are off by default during a backfill, so you don't surprise existing customers with a batch of emails. See Customer Confirmation → Backfill behavior.
Approval and confirmation
A newly synced location can go live immediately, or first pass through review:
- Require approval before publishing — auto-synced locations enter a pending queue for you to approve. Review them under Locations (filter by status) or from the dashboard.
- Customer confirmation — the customer reviews and confirms their own listing first. This is configured per sync rule. See Customer Confirmation.
If neither is enabled, matching orders publish straight to the map.
Location expiration
Location expiration is available on the Growth and Wholesale Pro plans.
To keep your map fresh, you can automatically hide locations that haven't had a recent order. Set an expiration period (30, 60, 90, 180, or 365 days) in the Sync section. When a location's last order date is older than the period, it's auto-hidden from the storefront. A new matching order revives it.
The location detail page shows the last order date and a warning banner when a location is approaching expiration.
Sync history retention
The Sync History tab records every created and skipped order, with the reason. Retention depends on your plan: 7 days (Free), 30 days (Starter), 90 days (Growth), 365 days (Wholesale Pro).
